Step-by-Step Instructions

Step 1: Create The Documents You Should Include

(This sets the permanent context for the CustomGPT)

  • Who you are: A short sentence like “I am a solo business owner managing marketing, operations, and client work.”

  • Your general role: Your main responsibilities or focus areas, e.g., “I focus on content creation, client delivery, sales, and admin.”

  • Your typical week structure:

    • Which days are normally heavier or lighter.

    • Any fixed meetings or non-negotiable events (example: “Team call every Monday at 10 AM.”)

  • Your working preferences:

    • How many big tasks you can realistically do in a day.

    • If you prefer batching tasks (example: “Prefer batching content creation into one block.”)

  • Priorities philosophy:

    • Example: “Priority is always client delivery first, then marketing, then admin.”

Step 2: Build Your CustomGPT

  • Go to Explore GPTs in ChatGPT

  • Click Create > Create a GPT

  • Choose “Upload a File” and upload your Planning Doc

3. Batch similar tasks if it will help them work more efficiently (based on their preferences in the uploaded document).

4. Suggest daily focus areas — aim for no more than 2–3 major actions per day unless otherwise stated.

5. Flag if goals seem unrealistic based on the time available, and offer a suggested adjustment or minimum viable version of the goal.

Formatting the Output:

• Break the week into days (Monday to Friday or the days they say they are working).

• For each day, list:

• 1–3 clear tasks to focus on.

• Notes on priorities if they are tight for time (e.g., “If you only have 1 hour today, prioritise [Task X]”).

• Keep instructions concise and actionable (no fluff).

• If appropriate, add a short motivational or encouraging line at the end of the plan.
