Think AI is saving you time? Read this first

If your business systems are a bit of a mess, adding AI won’t help.

It just makes the chaos run faster.

Here’s what usually happens:

You start wiring up AI tools.

Zapier sends your leads to ClickUp. ChatGPT writes your emails. Maybe you’ve got a Notion dashboard pulling it all together.

It feels productive.

But somehow, you’re still the one chasing follow-ups, fixing errors, and plugging holes.

So what’s going wrong?

Most founders jump straight to automation without asking one crucial question:

Is this task even necessary, or is it just part of a broken system I’ve learned to work around?

Let that sink in.

You might be automating:

  • Manual follow-ups… instead of fixing the root cause of late responses

  • Proposal processes… instead of tightening how you qualify leads

  • Internal handovers… instead of redesigning your delivery flow

And that’s the trap: you end up with slick-looking automations that do nothing to improve performance, and often hide inefficiencies that cost you time and money.

Here’s a better question to ask yourself today:

“If I had to deliver my entire client journey manually, where would the friction be?”

Start there. That’s what AI should be supporting, not bypassing.

We work with founders to do exactly this, map the real journey, clean it up, then add the right automation in the right place.

But whether you work with us or not, the key is this:

Don’t automate the workarounds.

Fix the system. Then make it smarter.

More on that next week.
