Overview

You’ve set up your full virtual management team:

✅ Sales
✅ Finance
✅ Operations
✅ Marketing
✅ Managing Director

So… now what?

This final email is about making sure your team actually gets used.
Not just once. But every week, in a way that fits how you work best.

Make It Part of Your Weekly Rhythm

This isn’t a “set it and forget it” system.

It’s a thinking tool — designed to help you make smarter, faster, more strategic decisions consistently.

Here’s how to work it into your week.

Monday Check-In (or whatever day works for you)

Use your Managing Director chat to review:

  • What each role is focused on

  • Any priorities, ideas, or blockers from last week

  • What your goals are this week

Then ask:
“What should I focus on this week to move the business forward?”
“Are there any priorities we’re missing?”
“Which roles do I need to check in with first?”

This sets the tone and helps you think like a real CEO.

Use It for Real Decisions

When you’re stuck or spinning on something, pause.

Drop into the relevant director chat and ask:

  • “Marketing Director: is this new offer aligned with our messaging?”

  • “Finance Director: what’s the ROI threshold I need before scaling this?”

  • “Ops Director: how do we handle this increase in volume without breaking?”

  • “Sales Director: what’s blocking leads from converting this week?”

You’re not just chatting with a bot.

You’re running your thoughts through a strategic filter.

Keep Feeding It Context

The more you give, the better the advice.

You don’t have to dump loads in, just enough to give direction.

For example:

  • “Here’s this week’s ad performance – any red flags?”

  • “We’re seeing a lot of churn — here’s what customers are saying.”

  • “We’re launching something new — here’s the brief.”

Your chats become more useful the more they know.

Update & Adapt As You Go

This setup isn’t fixed.

Make it yours.

Tweak the role prompts if they feel off.

Add templates, questions, or files that help your thinking.

Rename chats. Create new roles. Archive ones you’re not using.

This is your thinking system. Shape it to match how your brain works.

Your Actions This Week

  1. Schedule a 30-minute check-in with your Managing Director chat

  2. Ask what needs attention this week

  3. Pick one live challenge and run it through at least two director chats

That’s it. That’s how you start making this part of your process, not just a clever idea you tried once.

This system doesn’t replace your thinking, it supports it.

It slows you down just enough to make better calls.

And that’s how strategy compounds.

P.S. Want to do this more strategically?
