What You’ll Need

  • A call transcript (Zoom, Loom, or similar) — preferably in plain text

  • A ChatGPT account (free is fine)

  • This prompt (just copy and paste it into ChatGPT)

  • Optional: headings or key moments from the call to guide the structure

Step-by-Step Instructions

Step 1: Export or Copy Your Transcript

  • Grab the transcript from your recording tool, Zoom, Loom, Fathom, etc.

  • Make sure it's in a clean, readable format (plain text or .docx is perfect).

  • If there’s a lot of fluff, feel free to delete greetings, waffle, or off-topic bits.

Step 2: Head to ChatGPT

  • Open a new conversation in ChatGPT.

  • Upload your transcript (or paste it in).

  • Use this prompt:

“I’m going to share a call transcript where we discussed a specific business process. I’d like you to help me turn this into a clear and structured Standard Operating Procedure (SOP).

Please follow these steps:

  1. Review the Transcript Carefully
Read through the entire transcript and extract the key steps, responsibilities, tools mentioned, and decision points related to the process being discussed.

  2. Create a Draft SOP
Based on the information from the transcript, create a first draft SOP using the following format:

    • Title of SOP

    • Purpose (What this SOP is for)

    • Scope (Who this SOP applies to and any limitations)

    • Required Tools/Resources

    • Step-by-Step Instructions (Numbered, clearly written steps)

    • Notes or FAQs (Anything that might need further explanation or commonly asked questions)

  3. Ask Clarifying Questions
If there are any gaps, unclear instructions, or missing details in the transcript that are needed to complete the SOP properly, list your clarifying questions at the end of the draft. These should be specific and help ensure accuracy, such as:

    • Who is responsible for this step?

    • What triggers this action to begin?

    • Is there a specific format or tool used for this part of the process?

    • Are there any exceptions or edge cases to account for?

Please confirm when you’re ready for me to paste the transcript.”

💡 Pro tip: You can also ask:

“Can you rewrite this SOP for a new hire with no background knowledge?”
to make it even more beginner-friendly.

Step 3: Tweak & Save

  • Review the SOP ChatGPT generates, it should be broken into steps, with tools, timing, and decision points clearly listed.

  • Ask ChatGPT to adjust tone, add checklists, or convert to a template if needed.

  • Save the final output into your SOP library (Notion, Google Docs, etc.).

Final Step

That’s it, you’re done. Gold star if you made it all the way here ⭐
If it worked, amazing. If you’ve hit a wall, give it five minutes and read through again – half the time it’s just something you’ve overlooked.
